Scheduling a meeting

Book it, invite by person, division or project, and choose how it's captured.


Book from Meetings → Schedule, or from a Noot's Calendar tab when you're planning project work. Both write the same booking - there is one scheduling pipeline, so a meeting planned inside a project shows up in the hub and gets a bot the same way.

The form

  • Title, meeting URL, starts at and length.
  • A topic and a description - the description is the agenda, and it is the same field, so the two can never disagree. This panel used to be fillable only by Autopilot.
  • Attach to a Noot (optional) - the meeting then also shows on that project's Meetings and Calendar tabs.
  • Invitees, picked across three scopes.

Whatever you pick is resolved down to a de-duplicated set of active members of your organization, so no combination of picks can invite a stranger or somebody who has left. Invitees get a calendar invite and an in-app notification, and the meeting mirrors into your own calendar.

How it gets captured

Scheduled capture is a two-way choice between the Noots bot and the Extension, and Noots pre-selects the right one by looking at what you've actually used. Choosing Extension deliberately leaves the bot off - sending a bot to a call you're already capturing from your browser would put two recorders in the room. Scheduled rows then show a Bot joining or Extension badge.

Note

The Schedule list shows meetings you booked and meetings on any Noot you can see - so a booking Autopilot made for a project is visible to the whole project team, not just to whoever set it up.

What is still coming, and what already happened

The list is in two groups. Scheduled is what has not happened yet; once a booking's time has passed it moves down into Already happened, so the tab stays about what is next. Nothing is deleted - the five most recent finished bookings are drawn, the rest are counted in a line, and a meeting that was actually captured lives in the Vault.

A booking with no time on it yet stays with the things still to come, because an undated draft is something you have not finished rather than something you have missed.

Opening one

Click a row that has not happened yet and the whole meeting opens in a panel: who scheduled it, who is coming and what each of them has said, the details, any Noots it is attached to, its prep note, and its edit history - every change to the time, the details, the guest list and how it will be captured, with who made it.

History starts when tracking did

The edit history is empty for anything changed before this was built, and the panel names the date rather than leaving a blank that reads as "nothing ever happened to this meeting".

Two fields stay with the person whose calendar they came from

On a meeting that arrived from somebody's personal Google or Outlook calendar, the description, the location and the outside guest list are shown to that person and not to colleagues who can merely see that the event exists. They came out of a private account.
