CRM + the rest of Noots

How contacts and deals connect to your projects and the work of the team.


The reason the CRM lives inside Noots - rather than in a separate sales tool - is that a customer's record can sit next to the work that actually delivers for them.

Linking a Noot

Contacts and opportunities each have a Linked Noot field. Point a deal at the project that will deliver it, and the record carries a chip you can click through - so the account team and the delivery team are looking at the same thing.

A nudge after the deal closes

Fourteen days after an opportunity is marked won, its owner gets a reminder to check in with the client. It arrives at 09:00 on the owner's own clock and opens that deal rather than a list of everything.

A deal you lose gets a reminder too, and it is a short series rather than one nudge. Thirty days after an opportunity is marked lost, its owner is asked to check back in and keep the door open, and the ask repeats every thirty days, three times in all, then stops by itself. The spacing is not the same as a win on purpose: a won follow-up is timed to the delivery, while the only reason to call a lost deal back is that something on the buyer's side moved, and a budget, a champion and a vendor decision all take about a quarter to change.

Marking it done ends the series early

Noots cannot see whether the client replied to you - there is no inbound signal on a lost deal. What it can see is whether you acted, so pressing Done on the reminder stops the rest of the series, and leaving it alone lets it run its three asks and finish. Snoozing or dismissing for the day only moves the one ask.

  • One deal owes one reminder. Re-dating or reassigning the deal moves the existing reminder rather than adding a second, and a snooze or an edit you made to it survives.
  • Change the deal back to open and the reminder is withdrawn. Correcting a win to a loss (or a loss to a win) withdraws the old ask and raises the right one.
  • A bulk or machine close does not create one. A CSV import or a HubSpot / Salesforce sync that flips fifty deals to won or lost would hand one rep fifty reminders in a single press, and a sync has no person behind it to own them. The close itself is still recorded, so the reports are complete either way.
  • Deals that were already closed before this arrived carry no reminder. Only a close that happens from now on asks anybody for anything.

Turning off follow-ups on deals you lose

The series on a lost deal is yours to switch off: Settings → Notifications → "Deals you lose". It is a personal setting, not a workspace one, because the reminder lands in one person's own list - so a manager closing your deal cannot answer for you, and switching it off for yourself does not silence anybody else.

  • Switching it off also withdraws the asks already queued, so it takes effect immediately rather than after the ones in flight have finished.
  • Switching it back on applies from the next deal you lose. Follow-ups that were withdrawn do not come back.
  • Deals you win are not affected by it. That switch is about lost deals only.
  • The setting only appears where the CRM is installed for your workspace.

Follow-ups vs. tasks

The CRM has its own lightweight follow-ups, which are separate from the tasks on your project boards. Keep sales next-steps as CRM follow-ups where they belong to the deal, and use a linked Noot when the work is a genuine project the wider team runs.

One workspace, one login

Because the CRM shares your workspace's people and permissions, an owner you assign is a real teammate and a linked Noot is a real project - no exporting, no second account, no copy-paste between tools.

Note

HubSpot and Salesforce sync live in the separate Integrations area, on the Business plan and above. While the CRM is uninstalled or disabled, those controls are hidden and the sync stops - nothing syncs into an area nothing can read.
